Inside a Bohaus Sprint: A Moving Company

The lead goes cold while it waits for an estimator. How a moving company uses AI to turn a customer's video walkthrough into a draft quote.

The situation

The client is an owner-led local moving company. A few trucks, crews of movers, a dispatcher, an office lead, and the owner, who does most of the estimates. Jobs run through moving software such as SmartMoving, Supermove or similar, or through a CRM and a spreadsheet.

Leads arrive from the website, review sites and referrals. Most want a price quickly. For anything bigger than a small apartment, the company wants to see the home first, so the next step is scheduling an in-home estimate. That can take days. By then, the customer has booked with whoever quoted first.

Phone quotes are faster but riskier. Customers underestimate what they own. The crew arrives to a fuller house than quoted, and the day ends with an awkward conversation about the bill.

What the sprint finds

In Discover, we follow a sample of recent leads from first contact to booked or lost, and we ride along on an in-home estimate.

The delay is the estimate, not the price. The owner is good at estimating. The bottleneck is the owner's calendar. And most of what an in-home visit captures, including the room-by-room inventory, stairs, elevators, and fragile or oversized items, can be captured from a video.

We also look at the AI tools available to movers. Several can generate an inventory from a video. The strategy question is where that fits: as a separate app the office has to remember to check, or as a step that feeds the moving software and the estimator directly.

In Diagnose, video walkthrough intake with an AI-drafted inventory ranks first. It speeds up the step that loses jobs, and it keeps the estimator's judgment where it matters.

What it builds

In Build, we add a walkthrough step to the lead flow inside the moving software.

When a lead comes in, the customer gets a link to record a short walkthrough or upload photos room by room, with simple prompts: open the closets, show the garage, point out anything heavy or fragile. AI drafts an inventory from the video with estimated volume and weight, flags special items like a piano or a safe, and notes access issues like stairs or a long carry.

The estimator reviews the inventory, corrects it and applies the company's pricing rules to build the quote in the moving software. Larger or complex moves still get an in-home visit, now booked with the inventory already in hand. The quote goes out with the inventory attached, so the customer sees exactly what is included.

Hand over

In Hand over, the office lead and the owner learn the walkthrough flow in depth, including the prompts and how to correct an AI inventory. Crew leads get a short session on reading the inventory before a job. A playbook covers what triggers an in-home visit, how to handle a customer who will not record a video, and who owns the system.

The owner gets a dashboard of leads, walkthroughs received, quotes sent and jobs booked, plus a 30/60/90-day roadmap.

What changes

Quotes go out while the customer is still shopping. The owner spends less time driving to estimates and more time on the moves that really need a visit. Crews arrive knowing what they are moving. Fewer jobs end with a surprise on the bill, because the inventory was agreed in writing before move day.

What this means for your business

The right AI tool is the one that speeds up the step where you lose customers and feeds the system you already run.

For a moving company, that is the estimate. For a roofer, the inspection report. For a pawn shop, the item record at intake.

That is a Bohaus Sprint: six weeks, fixed scope, four phases (Discover, Diagnose, Build, Hand over), and one live system inside the tools you already use, with a trained team, a playbook, a dashboard and a 30/60/90-day roadmap.

Key takeaways

  • Moving leads are often lost to the estimate delay, not the price.
  • A video walkthrough lets AI draft the inventory; the estimator corrects it and builds the quote.
  • The AI step should feed the moving software directly, not sit in a separate app.
