The situation

Consider an owner-led landscaping company doing residential and light commercial work: weekly maintenance, seasonal cleanups, mulch and planting, hardscape installs and irrigation. A few crews run from one yard. The owner sells most of the jobs personally, often from the truck between site visits.

Estimates are the choke point. Every new inquiry means a drive to the property, a walk around, measurements by eye or by wheel, and an evening at the kitchen table writing the quote. In spring the estimate backlog runs weeks. Some prospects hire whoever shows up first.

Existing customers renew their maintenance each year when the owner remembers to ask. Crews follow routes planned from memory and a printed list. The company knows each property well, but that knowledge lives with the crew leaders.

What the sprint finds

We start Discover in the truck, riding with the owner through a day of estimates, then spend a morning with crew leaders at the yard. We read a season of quotes and compare them with the jobs that were actually sold.

A pattern emerges. Most residential estimates fall into a handful of repeatable types, priced from a few measurements: lawn area, bed area, linear feet of edging, number of shrubs. The owner already has a pricing sheet in their head and in an old spreadsheet. Aerial imagery and customer photos can supply most of those measurements without a site visit.

Diagnose looks at where AI can carry real weight. Route planning and a new customer portal are useful, but estimates hold back growth every spring. So the one live system is AI-assisted estimating built into the company's existing field service and quoting tools, tied to a property record that carries the customer forward from that first quote.

What it builds

Build turns the first estimate into the start of a long relationship.

Photo-based estimates. New inquiries get a short form asking for the address, the services wanted and a few photos. AI measures lawn and bed areas from aerial imagery, reads the photos for features like slopes, beds and fences, and drafts an estimate from the company's own price sheet. The owner reviews, adjusts and sends it, often the same day. Larger hardscape and design work still gets a site visit, booked from the same form.

Property record. Every customer gets a property record: measurements, photos, services sold, plant list, irrigation zones, gate codes and crew notes. Crews see it on their phones at the property.

Seasonal service plans. Accepted maintenance quotes become seasonal plans with scheduled visits and automatic renewal reminders before the season ends, with next year's price already drafted.

Crew routes. Visits are grouped by area and duration into daily routes the crew leaders can adjust.

Upsell and retention. The property record suggests the next sensible service, such as fall aeration after a summer of maintenance, mulch refresh in spring, or a drainage fix a crew noted. Customers who skip a renewal get a check-in call task, not just an email.

Hand over

In Hand over, the owner and the office manager learn the estimating flow, including how to correct an AI measurement and update the price sheet. Crew leaders learn the property record and how to add notes and photos from the field. The playbook covers which jobs always need a site visit, renewal timing and who owns the system.

A dashboard reports estimates requested, sent and won, time from inquiry to quote, plans renewed, and revenue per property, along with a 30/60/90-day roadmap. Route optimization with live traffic and an online customer approval page are on it.

What changes

Most estimates go out without a drive. Prospects hear back while they are still shopping. The owner gets evenings back in spring. Crews arrive knowing the property. Renewals happen on schedule, and existing customers hear about the next service before they think to ask someone else.

The busiest season stops being the season with the longest wait for a quote.

What this means for your business

If growth stalls at the quote, look first at how many quotes can be drafted from information the customer already has.

For a landscaper, that is photos and aerial measurements. For a painting contractor, wall and trim counts from room photos. For a fence installer, linear feet traced on a satellite view.

That is a Bohaus Sprint: six weeks, fixed scope, four phases (Discover, Diagnose, Build, Hand over), and one live system inside the tools you already use, with a trained team, a playbook, a dashboard and a 30/60/90-day roadmap.

Key takeaways

  • For a landscaping company, the estimate backlog is often what limits growth in spring.
  • AI measures from aerial imagery and customer photos and drafts estimates from the company's price sheet; the owner reviews each one.
  • A property record per customer powers seasonal plans, renewals, crew routes and the next sensible service.
